How to Write an Effective Press Release
In order for your press release to work correctly, you need to follow a certain format. This format will include date instructions, a headline, contact information, a summary, actual content, and a method to signify the end of the press release. Starting with the date instruction – you can use “For Immediate Release”, “For Release Before [date]” or “For Release After [date].” The only time you would use the latter two is if you have an even schedule for some time in the future, and you don’t need the public to know about it until a certain time, otherwise, you would use the first choice.
The second element is the headline. The headline must be written so it grabs the media’s attention immediately. You have to make it benefit-oriented and why people would find it interesting enough to read. The headline also must be descriptive. Do not use hype or promotional language. The media hates headlines written in this format.
The third element is contact information. You will want to include your name, address, phone, email, and website. This will make it easy for the media to contact you. Make sure you list the times you will be available at the phone number you listed. Also, give them an alternate number just in case you are not at your main number when they try to reach you.
The forth element is the summary. Before you actually get into the meat of the press release, you need to construct a summary of your press release. This summary will just be a sentence or two. When you write it, consider making it interesting because you will want the reader to continue to read the press release after reading the summary. By the way, if your event is happening at a particular place, include the location. If your press release is only about your website, just list your URL.
The fifth element is content. This happens to be the guts of your press release. Here you will write your story. It will be written in a benefits-oriented way. When writing this part, you have to think about your audience and what would they be interested in knowing. Your first paragraph will have answer the questions – Who, What, Where, When, Why, and How.
The last element is to signify how you will end the press release. In most cases, you will end the press release by using the ###. This is a typical ending. Some people use “The End,” but 99.99% of the time, you will use ###.
